There are numerous employee documents that you want to be able to refer to
quickly, but do not necessarily need to be able to electronically search.
Examples are: completed I-9 Forms, signed W-4 Forms, a copy of the employee's
Driver's License, a copy of their Diploma, or a copy of any number of documents that
are unique and must be available.
In addition, with globalization, many employee documents are now being presented to
the employer in languages other than English. The employer still wants to
have a copy ready for quick retrieval. An imaging system is like taking
a picture. The content is reproduced faithfully, regardless of language.
Finally, most of those signed or special documents are difficult to come by, and
the employer would like to have an electronic image stored securely off-site for
safe-keeping. An image in a Hosted Environment satisfies that need.
